In this article, you will learn about configuring your document preferences.
Getting Started
To access the 'Preferences' menu, click on the 'Document' icon within the 'Matter Navigation Bar' and click on the 'Preferences' button in the bottom-left corner, as per the screenshot below.
The Preferences menu is made up of various toggles that you can enable or disable.
File Checkout
This option is disabled by default. Enabling this option will allow 'System Users' to lock documents after downloading/opening them. This feature is especially useful in ensuring that no two users are editing the same document at the same time.
Once this feature is enabled, 'System Users' will be prompted to enter an estimated check-in time when opening a document within the matter, and will be given the option to leave a file note for other users to see. They can also choose to skip checking in for a document by selecting 'Skip this time'. When the document is checked out, only the user that checked out of that document can check back into that document, along with 'System Administrators'. If a user without the necessary permissions attempts to open a document that has been checked out by a different 'System User', they will be unable and will see a padlock icon to the right of the document's name.
Actionstep Plugin
This is another simple on/off toggle, but to make the plugin work you will have to do a bit more configuring. Once turned on, you will be prompted to download and install the plugin, after which you will need to slide the toggle again and click on the activate link shown below.
Sorting
You will want to keep this option enabled in most cases. If (natural) 'Sorting' is turned off, files will be sorted by individual characters starting from left to right, regardless of the combined values. For example, let's say you have 4 documents that are named based on their dates. The names of the docs are as follows:
- Dec 12
- Dec 22
- Dec 3
- Dec 1
If 'Sorting' is enabled, the files would be sorted in the following (descending) order:
- Dec 1
- Dec 3
- Dec 12
- Dec 22
If 'Sorting' is disabled, the files would be sorted in the following (descending) order:
- Dec 1
- Dec 12
- Dec 22
- Dec 3
As you can see, this order simply takes the first character from left to right and uses that to determine the ordering.
