In this article, you will learn how to process payments made against bills you have issued. You can also watch our video for more insight into the process.
To process a payment, click on the 'Global Create Button' , click 'Show all...' if the menu has not already been expanded, and then select 'Client Receipt' from the 'Billing' section. Doing so will open up the 'New client receipt' pop-up window, as per the screenshot below.
The first thing you'll want to do is specify which bank account the payment is being receipted to, as well as the amount of the payment. The total amount of the receipt can then be apportioned between the bills it is being applied to, as per the screenshot below.
You can either choose to receipt the funds by matter, bill or client, as per the screenshot below.
Receipt by Matter
If you select 'Matter' from the drop-down menu shown above, you'll be asked to select a matter from the adjacent drop-down field. Choosing a matter will then populate the section underneath with a list of any bills associated with that matter that have outstanding amounts.
Receipt by Bill/Invoice
If you select 'Invoice' from the drop-down menu shown above, you'll be asked to select a specific bill, and the payment will be only be made against that one bill.
Receipt by Client
If you select 'Client' from the drop-down menu shown above, you'll be asked to select a client from the adjacent drop-down field. Choosing a client will then populate the section underneath with a list of any bills associated with that client that have outstanding amounts.
You can choose to leave this field as-is, which will result in the receipt following a natural sequence based on the number of the latest receipt before it. Otherwise, you can specify a number manually instead.
You can use these to instantly populate memos. Quick Codes are saved under designated abbreviations and used in various other areas of the system as well.
When you are satisfied with your settings, click on the 'Save' button to process the receipt and apply it against the selected bills.
