The creation of workflows is a dynamic activity that can either be very simple or very complex, depending on the process that is being documented. As such, this article is divided into multiple sections, with links to more detailed articles in each section.
Getting Started
It is highly recommended that you review this article before you start creating workflows, to ensure that you fully understand the purpose and functionality of a workflow.
Once a workflow has been created and a matter of the resulting matter type has also been created, you will not be able to delete the workflow.
You can create a workflow in one of two places:
The bottom of the matter creation screen (can be found by clicking on the green Global Create "+" button), or by navigating to Admin > Matter Types:
Enter the desired name of your new workflow, along with a description (optional). If you are going to be using trust accounting for matters of this type, specify which participant type will be selected as the trust beneficiary and click to create.
Steps
Once you have created your brand new workflow, the first thing you will want to do is to map out the steps within it. See this article for more information.
Participants
Next, you'll want to figure out which parties you want to associate with matters of this type. See this article for more information.
Custom Data
'Custom Data' is a way to capture various forms of information that can be stored against matters and also be pulled into documents. See this article for more information.
Document / Email Templates
Creating document templates using merge fields and saving them against workflows allows you to quickly generate documents from within matters that are populated with information stored against each respective matter. See this article for more information.
Email templates can be used in conjunction with merge fields to instantly populate new emails with prepared text and information contained within the matter.
Folders / Portal
Portal offers a secure platform of communication between you and your clients, for the purposes of sharing and uploading documents and chatting to keep clients informed on the statuses of matters.
Portal permissions are based on folders, which can be created at the workflow level so that any newly created matters have these folder structures already created within them.
Action Type Settings
These settings will determine the behavior of any matters of this type. You can adjust whether or not the matters of the specified type are billable, and whether or not they can be closed with open bills/tasks, among many other options.
