Note: The Password Manager app is available in the Actionstep Marketplace for Practice Pro + Accounting and Practice Pro systems. |
The Password Manager is a Workflow App designed to help you manage all the passwords in your business. You can install the Password Manager app into your Actionstep system by going to the Add-ons page.
Overview
The password manager app uses matters to log passwords for systems and application you use in your organization. Each matter provides a data collection to record login credentials.
Creating a Password Manager matter
Use the Global Create button to create a matter.
Select the Password Manager matter type.
On the Create Matter screen, name the matter and select the Manager and Assignee for the matter.
Tip: Use the resource name for the matter name to easily find the proper password in your system. |
In the matter data section, Resource info fields, enter the account information for the desired application.
Finally, enter any relevant information in the file note field and select Create Matter.
Using the Password Manager matter
Once created, you can view your information on the Matter Overview screen.
If any edits need to be made to your information, select the Resource info data collection label.
Select Edit, make any necessary changes, and Save.
Once all information is verified, move the matter to the In Use step by selecting ‘In Use’ on the workflow ribbon. This step denotes that the password can be used for the designated system.
Update any relevant matter properties and select Change step.
Viewing passwords
Aside from viewing specific login information on the matter, you can utilize the Password Manager list view to see information across all Password Manager matters. This can be accessed from the main menu in Matters > Views > Password Manager.
The Password Manager list view displays the matter ID, resource name, URL to resource, account ID, username, password, notes, manager, assignee, last activity, last file note, matter status, date created, and the matter type.
Selecting the URL in the Location/URL column launches that website. Clicking on the asterisks in the Password column displays the password.
Note: The password matters and information on this list will only be visible to users with permissions to view the matter and Resource info data collections. For more information on Password Manager permissions, see Password Manager App Setup. |
