Matter Lockup Report

Overview

The Matter Lockup Report provides a balance of billed and unbilled amounts for matters/participants at a specified date. This report is useful for viewing what income you can expect to receive in the short-term.

Accessing the Matter Lockup Report

The Matter Lockup Report is located in Reports > Matter Reports.

Report Configuration Options

The Matter Lockup Report offers multiple settings to drill down to the information you need in the best format for your purposes. 

Basic

Period ending

Controls which items are displayed on the report by date. Only items existing before the selected date will be displayed.

 

Advanced

Matter Type	The matter type filter filters the report to only display matters of the specified matter type(s).
Matter current step	Designating a step in this filter will return results only for matters currently on the selected step(s).
Matter  party	Selecting a party or parties in this field filters the report to only display matters where the selected participant is a party.
Party type	Further dictates what is displayed in conjunction with the Matter party selection. It filters the report to display only matters where the selected matter party is the selected participant type. For instance, if I choose Laura Parks as the matter party and select Attorney as the party type, the report will only return results where Laura Parks is the attorney.

The report can be configured to display in different groupings and orders using Layout Options.

Group by	By default, the report is set to Group by Primary Participant(s)/Matter. This displays billed amount due, unbilled amount, and lockup amount for separate matters even with the same participant.  When Group by is set to Primary Participant(s): The totals of the columns are sums of all the matters for which the primary participant is the billable party.
Order by	Dictates the order of report results.  Primary Participant(s)/Matter displays results in alphabetical order based on the name of the primary participant.  Note: The primary participant names will display and order based on the Contact name format setting in Admin > General Settings. Order by Lockup Amount displays the report results from largest lockup amount to smallest.

Producing the Matter Lockup Report

 

The output section provides options for how the report is produced. 

On Screen (HTML)	Displays the report on the current screen
PDF	This option launches a print dialog from a PDF version of the report. To download as PDF, select Save as PDF in the Print > Destination dropdown on the print dialog screen. Note: Print dialog will vary based on your browser.
MS Excel	Downloads the report is xlsx format

 

Understanding the Output of the Matter Lockup Report 

Output Options (On Screen Only) and Header Information 

Reload	This button will re-generate the report. This can be useful if changes are being made while viewing the report to see difference between before and after the changes.
Print	This will launch your browser's print dialog. The behavior and display of the dialog is dependent upon your browser and workstation settings.
Excel	Downloads the report in xlsx format
PDF	Downloads the report in PDF format
Show settings button	Displays the configuration options for the report. Once displayed, the configuration options can be hidden by selecting the Hide settings button.
Period Ending	The date set in the Period ending configuration option
Group by	The Group by value selected in configuration options
Order by	The Order by value selected in configuration options
Additional header information	Addition information will be displayed in the report header to denote which advanced options have been selected as well as the value of those selections.

 

Column Definitions

Grouped by Primary Participant(s)/Matter

Grouped by Primary Participant(s)

Primary Participant(s)	The names of the primary participant or participants on a matter or matters. When the report is grouped by Participants(s)/Matter, a row will be displayed for each matter. That means this row may have duplicate primary participant names. When the report is grouped by Primary Participant(s), each primary participant or primary participants will receive a single row entry. This is due to the row not being matter-specific.
Matter/Matter Name	This column only displays when the 'Group by' configuration option is set to Primary Participant(s)/Matter. Each row displays the Matter ID/the Matter Name associated with the row information.
Billed Amount Due	The value of unpaid billed amounts where the bill's due date is before or on the Period end date.
Unbilled Amount	The value of fees and expenses that have not been billed
Lockup Amount	Sum of the Billed Amount Due and Unbilled Amount columns. Used to determine how much could potentially be collected from all unpaid bill amounts and fee and expense values
