Overview
The Matter Summary Report details the most pertinent information for a specific matter. The report offers basic information for the matter, file notes, and matter parties. This is useful for quickly gleaning contact information, important notes, custom data values, and a list of actions performed on a matter.
Accessing the Matter Summary Report
The Matter Summary Report is located in Reports > Matter Reports in the General section.
Report Configuration Options
Matter | The Matter field dictates which matter's information is displayed. |
File Notes |
Controls the display of the File Notes table on the report. The File Notes table can be sorted form Newest to Oldest or Oldest to Newest. |
Participants | Controls the display of the Matter Contacts table in the report |
Chronology | Controls the display of the Matter Chronology table |
Matter Data | Controls the display of custom data collections, fields, and values. Each data collection displays the fields and values in its own table. |

The tables can be sorted to display in the report from top to bottom. By selecting the order dropdown. This can be useful when exporting the report, to display the most important information first. The First designation will display the associated table at the top of the list. The Fourth designation will display at the bottom. In the following example, the Participants table is set to display First, while the File Notes table is set to display Second. |
*defaults | By default, only the File notes and Participants options are selected. |
Output Options
The Generate Report button displays the results with the selected settings on the current screen.
The Print option will adhere to your browsers print settings to launch the print screen.
The PDF option immediately downloads a PDF.
Understanding the Output of the Matter Summary Report
Configuration Details and Output Header
The header displays a summary of the report settings as well as output options.
Matter | The name of the matter with the matter ID in parentheses. |
File Notes | Denotes whether the file notes table is displayed on the report. |
Participants | Denotes whether the Participants table is displayed on the report. |
Chronology | Denotes whether the Chronology table is displayed on the report. |
Matter Data | Denotes whether the Matter Data table is displayed on the report. |
Expand/contract display button |
This button controls the on-screen display of the report. When the arrows face out and the button is clicked, the report will span the width of the window. When the arrows face in and the button is clicked, the report will display with space on both sides of the screen. Expanding the display can be useful for longer text values in some table rows to avoid them spilling over to the next line. |
Show report settings/Hide report settings |
When the report is generated, the configuration options are hidden from view. Selecting the Show report settings button displays the report settings. This allows the settings to be updated and, allows the report to be re-generated. Selecting the Hide report settings button hides the report settings, so only the report information displays on screen. |
Reload |
The reload button refreshes the report. This is useful to include any data that has changed since the report was generated. |
Generated |
The report is stamped with the date for reference. |
Launches dialog to print the report. | |

Matter Data
The matter data table displays important information about the selected matter and the primary participant of that matter.
Name |
Name of the matter for which the report is generated In matter context: The matter name is Darren Maloy. |
Matter ID |
Matter ID of the matter for which the report is generated In matter context The matter ID is 1. |
Matter Type |
Matter type of the matter for which the report is generated In matter context: The matter type is General. |
Division | The division to which the associated matter is assigned. |
Status | The current status of the associated matter. This is based on the explicit setting in the matter. It can be Active, Inactive, Closed, or Template. |
Current Step |
Current step on which the matter resides on its workflow. In matter context: This matter is on the step. |
Priority |
The priority set for a matter when it's created or edited in the matter's properties. Matter creation context: Matter properties context: |
Last Activity | The date of the last activity in the matter. This includes creating an items like file notes, time entries, etc. as well as editing any information. |
Created | The date the matter was created in your system. |
Assigned to |
The user to which the matter is assigned. In matter context: |
Primary participant |
The participant that holds the designation of Primary Participant for the associated matter. For instance: in some matters, the client will be the primary participant. With that setup, this field will display the name of the client on the associated matter. Note: The primary participant type can be designated by users with administrator access in Admin > Matter Types > your matter type > Matter type settings. In the Parties section of the screen, there is a checkbox in the Primary column that indicates the primary participant when checked. |
Mailing address |
Displays the mailing address of the primary participant of the associated matter. The mailing address is located in the Mailing Address section of the contact record. Note: This will display the mailing address not the physical address. |
File Notes
The File Notes table displays file notes created by users in the selected matter.
Note time |
The date of the file note. Note: This is not necessarily the date the file not was created but the date selected for the file note. |
File note | The text entered for the file note. |
Entered by | The party who created the note. |
Entered on | The date of the file note's creation. |
Type | The type of the note. This table only shows file notes entered by users, so the column will display user for each note. |
Matter Contact
The Matter Contact table displays basic identifying information about the primary participant type, information to contact the party, and custom data associated with the participant.
Role |
The participant type of the displayed party. In matter context: |
Name and Address | The party's name and address from the associated contact record |
Phone | All phone numbers listed on the party's contact record |
The email address entered on the party's contact record | |
Custom data |
Participant custom data fields and values available from the matter. Note: Due to the possible variance in information from matter to matter, a participant's custom data can differ between contact record and the matter value. A contact's values will be inherited by the matter when they are added as a participant on the matter. To alter these values, go to the parties screen in a matter. Select the menu icon next to the party's name and select Edit Data. In the resulting screen, you can specify matter-specific values to override the contact values. |
Matter Chronology
The Matter Chronology table displays a list of actions performed on a matter, sorted from oldest to newest.
Date | The date of the reported activity |
Participant | The user associated with the activity |
Activity Type | The type of activity performed |
Activity | The activity and specific items affected |
Matter Data
A Matter Data table displays for each custom data collection associated with the selected matter. This table contains the names of the data collections and fields, as well as the values of the fields in the matter.
Title | The titles of the additional custom data tables are determined by the names of the data collections. In the example above the custom data collection is called Custom Data. That makes the name of the table Matter Data: Custom Data. |
