Sharing matter data between related matters

Actionstep has the ability to have a collection of data fields shared between related matters. This means that when a matter with this data collection is made a related matter to another matter, the data collection will appear on both matters. 

In this article, we give an example of how users can benefit from this function and how an Actionstep admin can configure data collections on their matter types to be shared.

 

How shared data collections work

Data collections are the screens you find on your matter with the fields relevant to that matter type. These are customized for each matter type in your system. When one is set to be shared with a related matter, then that data collection will also appear on a related matter type.

Related matters are, at a basic level, two or more matters that are in some way related. They could be two matters that a client engaged you for at once. It might be a matter that was created as a result of a first. 

An Actionstep admin must set your system to allow your matter types to be related to other matter types to use this function. See Related Matters on your Matter Types for more information on how to do that.

Once you have related two matters together and one of those matters has a shared custom data collection you will see the data collection on both matters.

If you have multiple related matters that has shared data collections, you will see the matter number appear beside the data collection name so that you can tell the data collections apart.

Setting up a Data collection so it can be shared between related matters

NOTE

Only a user with Admin access in the Actionstep Practice Pro or Practice Pro + Accounting plans will be able to set this up.

 

To make a data collection shared, open the Matter type that the data collection is kept under. Then open the Matter Data, and Edit the data collection in question.

Do this by going to Admin > Matter Types > (click on the applicable matter type) > Matter Data > (beside the applicable data collection) Edit.

Find the field Related matter sharing and switch it on. Save the changes.
