Overview
As well as the standard Day / Week / Month Views you can also view, sort and edit your calendar appointments in a calendar list view. This give you all your appointments listed with various columns for the various parts that make up you appointment (for example, appointment Title, Description, Status, Start and End date).
The list view is a great way to be able to search for your appointments.Like all other lists in Actionstep you can filter then by the columns provided. You can also create a custom appointments list view and to capture just the information you need (for more information on this see Creating Custom Calendar List Views).
Go to
Calendar > Appointments > Appointments List
Every system will have an "Appointments List" when it is created though others can be created and shared with you and they will appear here also.
Using your Appointment List View
All columns in a list view can be customized. You click and drag a columns heading to another place in the list to change the order of the columns. If you place your cursor over the space between columns you will be able to adjust the size of a column (make it larger or smaller).
Once you are in a list view you can also swap to another custom list view using the Views button in the tool bar above the list.
List all list views you can Filter by the columns that you have present. This means that you can filter out appointments under other people calendars or focus on appointments that are linked to one particular matter.
This is also a great way to find the appointment you are looking for, rather than scrolling through your My Calendar view looking for an appointment in a certain month or with a certain client you can come to the list view and search using the filter.
You can also Export the list view to an spreadsheet or Print off the list. You can also create a Heads Up Rule for this list so you can have the updated results of this list emailed to you on a regular interval. You can click on an appointments name or ID at any stage to open the appointment to edit it. Alternatively you can click on the tick box beside the appointment and then click edit from the task bar.
Moving an appointment from one calendar to another in the Calendar List View
If you want to change the calendar name that an appointment is made under you can by clicking the tick box beside the appointment(s) you want to move and then use the Move button in the tool bar above. When you click on the Move button you will be given a list of all the calendars that you have access to in your My Calendar View.
Moving appointments will effectively delete the appointment in one calendar and create a new one in the other calendar (at least from a permissions point of view). Before you attempt this please make sure that you have permission to create new appointments and delete appointments in both calendars you will be working with.
This is especially useful if you want to move appointments from one staff member to another to cover for sick leave or to re-organise workloads. Because you can do multiple appointments at once just filter for the appointments you want, tick the box next to them and use the Move option to choose whose calendar the appointments should be put into.
Copying an appointment using the Calendar List View
If you want you can copy an appointment so that it appears in more than one persons calendar.
Similar to the process for moving a calendar above, you must first ticket the boxes next to the appointments that you wish to copy. Then from the tool bar above the list hover the cursor over the Copy button. When you do this you will see a list of all the calendars that you have access to in your Actionstep. Simply click on the calendar that you would like to move the appointment(s) to.
